Job Summary

To provide system and administrative support for the various functions within the Administration team and adhere to operating process and procedures, in particular to help ensure compliance to customs standards and export documentation.

Key Responsibilites

Customs
• Accurate completion of paperwork and other legal documentation
• Data entry and interrogation of systems such as EXIT, SPEX & NES
• Regular contact with Customs and Excise and the Chamber of Commerce

Bookings
• Completion of paperwork and other legal documentation
• Planning and booking of vehicles
• Regular contact with Freight Forwarders
• Produce dangerous goods notes for Freight Forwarders
• Record Freight Forwarder performance

Helpdesk
• Receive all customer contacts, raise logs and distribute to appropriate staff
• Manage daily food bookings diary
• Regular customer contact
• Co-ordination or all service failure queries and logs

Main Duties

• Previous experience in an administration role, preferably within a similar environment
• Good working knowledge of MS Office including Word, Excel and Outlook

Job Title

Job Summary

We are looking for a highly motivated Shift Manager to control and monitor the warehouse operation, achieving agreed service levels and productivity within time and budgetary constraints.  The Shift Manager will require strong leadership skills with a firm understanding of the team work necessary to make the operation run smoothly, and to provide support to the Operations Managers to ensure the site meets and exceeds exacting customer requirements.  

Key Responsibilites

• Plan and control daily/weekly labour requirements, assessing priorities, identifying potential problem areas and reacting accordingly
• Set daily targets and liaise with Section Leaders and other Managers to ensure targets/aims are clearly identified, and manage the obtaining & exceeding of KPI’s
• Instil & lead a customer service environment and understand and respond to the needs of the customer
• Identify areas of inefficiency and target cost improvements
• Lead, motivate and develop the capability of the warehouse team to deliver outstanding service to the customer
• Ensure that all requirements relating to health, safety and hygiene are being observed
• Manage specified modules of the SHEQ Management System for the depot, implementing and executing action plans as appropriate
• Ensure payroll information accuracy using SMART time and attendance system
• Ensure operational compliance with the Local Customs Procedures and maintain adherence with Aviation Security Requirements

Job Title

Operations Manager

Job Summary

To manage and coordinate the Warehouse function within the depot ensuring the efficient and cost effective fulfilment of customer requirements.  To ensure that the workforce is motivated and well managed and to build and maintain a strong team of Shift Managers, setting them clear objectives, monitoring and providing feedback on performance.

Key Responsibilites

• Be proactive in the development of First Line Managers and meet with them on a regular basis.
• Advise, lead and motivate First Line Managers and allow them to implement corrective measures.
• To manage and develop a flexible, trained and motivated team through excellent communication and regular performance review meetings
• Identify training needs for subordinates and meet these in conjunction with the HR department and training department.
• Ensure that the required level of service is provided to M&S by monitoring KPIs, ensuring targets are met and exceeded and that corrective action is taken when KPI’s fall below acceptable levels
• Plan and coordinate operational activities ensuring that First Line Managers are clearly aware of required targets, performance standards and service levels
• Ensure site achieves all cost targets through achieving KPI’s to the agreed budget and standards
• Prepare detailed plans for peak periods within set frameworks
• Assists in the preparation of the warehouse budget and monitors costs against budget throughout the year, taking remedial action where necessary
• Actively pursues continuous improvement in line with quality initiatives and ensures all jobs are conducted in accordance with the quality policy, manual and relevant work instructions
• Involvement in disciplinary issues in conjunction with the HR Department.
• Recruit and train subordinate staff in conjunction with the HR Department.
• Maintain and promote good industrial and employee relations on site and ensure potential problems are dealt with at an early stage.
• Promotes a people and safety culture within the team.

Main Duties

KNOWLEDGE, SKILLS AND EXPERIENCE:
• Relevant experience in FMCG distribution industry at FLM level, covering all aspects of general management with specific experience in warehousing/distribution preferred
• Graduate calibre
• Computer literate, with knowledge of Microsoft Excel, Word and PowerPoint.
• Good analytical skills
• Experience in working in a customer focused environment
• Has all the competencies required to manage at the Operations Manager level
